Facilities Officer (Auriel PM)

Auriel PM provide Estate and Facilities Management services to BE Offices, the UK’s leading owner and provider of flexible office space solutions.

We are looking for a Facilities Officer to join the Estate and Facilities Management team; you will play a key role in the day to day management of a diverse portfolio, supporting Centre Managers by managing hard and soft services and coordinating planned and reactive maintenance. You will also assist in the contract tendering process, monitor supplier service levels and project manage works, ensuring health and safety compliance is adhered to at all times.

You will be dealing with suppliers, landlords, managing agents and clients every day so professionalism is of the upmost importance. You will be working closely with an enthusiastic team managing a commercial portfolio of 600,000 sq. ft. covering central London and the southern regions of England. This is a highly varied and challenging role which will stretch the successful applicant across the entire discipline of Facilities Management.

Key Responsibilities & Accountabilities

• Be the first point of contact for Centre Managers, suppliers, landlords, managing agents and clients for resolving FM related issues
• Coordinating planned preventative maintenance and reactive works
• Preparing documents to put out tenders for suppliers
• Calculating and comparing costs for required services to achieve maximum value for money
• Build relationships with suppliers to ensure their delivery is in line with agreed SLA’s
• Project management, supervising and coordinating the work of suppliers
• Review works risk assessments and method statements, ensuring they meet business needs
• Undertake regular site and works audits identifying areas of concern and ensuring agreed supplier works have been completed to a satisfactory standard
• Ensuring sites meet health and safety requirements and that facilities comply with legislation
• Manage CAFM systems to ensure site records are current
• Management of purchase orders and approval of FM related invoices against PO’s and contracts
• An active contributor to the company ‘Green Group’ promoting FM environmental initiatives

Personal Specification

• BIFM qualification preferred

• Minimum of 2 years Facilities Management experience in commercial buildings
• Demonstrable supplier, landlord, managing agent and client facing experience
• An understanding or willingness to learn how building mechanical systems operate

Skills and Abilities
• Proficient in Word, Excel, Outlook and CAFM systems
• Excellent telephone and face-to-face communication skills
• Excellent verbal and written communication skills
• Excellent organisational skills, self-motivated and ability to work unsupervised
• Confident hands-on approach with an inclusive personality and a positive can-do attitude

Work Requirements
• Flexibility to travel to sites as required
• Occasional irregular hours if required to meet business needs or in case of emergency
