All time is precious, but when it comes to running a business and trying to be as productive and efficient as possible, it really is crucial to make the best possible use of the time you have available.

This is particularly true if you are hiring office suites on a short-term basis and want to gain the maximum possible benefit from this space while you have it.

One of the best ways to ensure you are making the most of your working time is by having dedicated tools and strategies in place to add more structure to your day. Here are five approaches that could help you to maximise your efficiency and cut down on wasted time.

          1. Use time management tools
There are many technologies and tools that can help you to manage your time more effectively. These range from the simplest applications – calendars on your phone or email account, for example – to more sophisticated software that can give you an in-depth view of how much time you have available and how long some of your key tasks are likely to take.

There are various time management platforms or apps which can help you and your employees keep track of time and ongoing tasks.

          2. Prioritise and focus
If your time is limited, one of the most important and beneficial things to do is plan ahead and identify your key priorities for each day or designated stretch of time.

Once you are clear about your priorities, it will be much easier to focus on the tasks that matter most and temporarily move to one side any less pressing jobs that can wait until later. Technology can come in extremely useful once again here, especially if you need a visual, easily accessible representation of what you want to focus on at any given time.

          3. Allow yourself to have breaks
It’s an easy trap to fall into: you are so eager to make the most of your time in the office that you carry on working when you should be taking a break and getting some distance from those pressing projects and goals.

If you find yourself regularly working through lunch breaks and staying late, set aside some time to simply switch off and de-stress. As difficult as this might seem, it will be worth it in the long run, as pushing yourself too hard will simply result in burnout and lower-quality work.

          4. Don’t waste time on unnecessary meetings
Almost anyone who has worked for a big business or in a traditional office environment will know just how frustrating it can be to waste time in meetings where nothing really seems to get done.

If this is becoming a problem for your enterprise, consider alternatives to conventional meetings such as one-to-one chats over the phone. There is also the option of having standing meetings, which some companies use in an effort to keep people energised and to encourage collaboration.

          5. Don’t be afraid to make changes
If you or your business has fallen into habits that have become unproductive or inefficient, it’s crucial to be bold and show a willingness to change.

Big reforms in working methods or technologies might meet with some resistance and seem like an unnecessary upheaval at first, but it could be exactly what your business needs to maximise productivity and step up to the next level of success.
